The update service, a message from our DBS organisation CBS
At CBS, we continually strive to improve our processes and support your efforts through ongoing continuous improvement initiatives. As part of this, CBS has implemented a new process for subscriptions marked as cancelled due to failure to confirm by the applicant.
Moving forward, CBS will conduct a status check within 48 hours of the system marking a subscription as cancelled. If the subscription is still active and confirmed, it will be stamped as Renewed.
We have also revisited the update service email and relevant reminder emails to emphasise the importance of the applicant following the second link to confirm their subscription.
We are aware of the challenges and impact that the old process had on resources. This new approach is designed to better support you and help ensure prompt action is taken, reducing unnecessary delays and confusion.
Important Reminder for Administrators: It remains the responsibility of administrators to cancel subscriptions for individuals who no longer require them, including those who have left their employment. This ensures accurate tracking and updates to subscription statuses and helps prevent mismanagement of data.
Applicant-Lead Process: Please remember, this is an applicant-lead process, and ideally, we want the applicant to confirm their subscription and not wait for the cancelled status.
DBS Update Service
We offer the facility for a church to be able to request volunteers subscribe to the update service on our DBS portal. However, the cost is an additional £3.50 per year, paid as soon as the DBS applicant subscribes
The volunteer has a choice to register or not after you request they subscribe.
A paid staff member has a £16 a year charge to register with the update service
If you request subscription through our portal, your volunteers will receive an email and email reminders to register on the DBS update service for up 28 days after the clearance of the DBS.
If your volunteer subscribes to the update service via the DBS portal, the check is automatically completed each year at a cost of £3.50per check and you are notified of the result via your DBS portal.
However, your staff and volunteers can sign up to the update service here for free within 28 days of receiving their certificate.

- view their details
They will be able to take their DBS certificate from one job or role to the next, unless:
- an employer asks for new certificate
- They need a certificate for a different type of ‘workforce’ (for example, an ‘adult workforce’ certificate and need a ‘child workforce’ certificate)
- They need a different level certificate (for example, you have a standard DBS certificate and need an enhanced one)
An organisation can perform a status check here and you must:
- be legally entitled to carry out a check
- have the volunteer’s permission
You do not need to pay or register to carry out a status check. You can see the results from the check straight away.
If you type in the certificate number and you receive the message “The details entered do not match those held on our system”. Please check you have entered the details correctly and try again.
If the message appears again, it’s highly likely that applicant either hasn’t renewed their subscription or they haven’t registered their DBS on the update service. You will then have to complete a new DBS for your church.
You must check that their DBS update details are for the correct workforce they are applying for in your organisation
